For one SEO agency working with travel, ecommerce, and hospitality clients, the onboarding process used to take nearly a month — delaying campaign launches and frustrating new clients before any results could be delivered.
The Problem
The agency’s onboarding was a patchwork of manual steps and scattered communication.
Each new project required:
Several internal handovers between sales and account management
Repeated coordination to book kick-off meetings
Time spent identifying which account manager had capacity
Manual catch-up for account managers to understand the client context from sales calls
As a result, onboarding stretched to 28 days. Projects didn’t start until the first month’s retainer had nearly passed, and teams lost valuable time that could’ve been spent driving results.

Unified visibility: Sales data from HubSpot now flows automatically into Airtable, giving project leads instant insight into account manager capacity.
Smart assignment: When a new client is closed, project leads are automatically notified of who’s best positioned to take the work — and assignment triggers a Teams message to the AM with a clear to-do list.
Frictionless kickoff: Account managers receive a ready-to-send email and booking link for the client.
Instant context: AI-generated call summaries condense sales conversations into one-page briefs, giving account managers immediate understanding of each client’s goals and nuances.
Each of these small, custom automations connected what already existed — HubSpot, Airtable, Zapier, and Microsoft Teams — into a seamless system that removed delays and eliminated uncertainty.
The Results
Onboarding time dropped from 28 days to just 3.
